Governing online fee payments made through the JODO payment gateway on behalf of Kingston Educational Institute and its constituent colleges and school
This document sets out the Terms & Conditions, Refund Policy and Privacy Policy (“Policy”) applicable to all online fee payments and related transactions made through the JODO payment gateway integrated on the official website(s) and student/parent portals of Kingston Educational Institute (“KEI”, “the Society”, “we”, “us”, “our”) and each of its constituent institutions, namely Kingston Law College, Kingston College of Advanced Engineering & Management (KCAEM), Kingston College of Science, Kingston School of Management and Science, Kingston Teachers’ Training College, Kingston Polytechnic College and Kingston Model School, together with any other educational institution that is now or may hereafter come under the aegis of Kingston Educational Institute (collectively, the “Constituent Institutions”). By accessing this website, initiating a payment, or otherwise using our online fee-payment facility, the student, parent, guardian or other payer (“User”, “you”) agrees to be bound by this Policy in its entirety.
This Policy applies to every payment made towards tuition fee, hostel fee, examination fee, application/registration fee, or any other charge payable to KEI or a Constituent Institution through the JODO payment gateway, whether made via net banking, UPI, debit card, credit card, E-Mandate (auto-debit/NACH/e-NACH), or any EMI/instalment facility offered through JODO.
This Policy governs KEI’s existing Constituent Institutions listed above and shall automatically extend to, and be binding on, any additional school, college or other educational institution that is established, acquired, affiliated or otherwise brought under the aegis of Kingston Educational Institute after the date of this Policy, without requiring a separate or amended publication, unless KEI notifies otherwise.
In addition to the fee structure communicated to the student or parent/guardian at the time of admission or readmission, the following may be levied, where applicable, subject to proper prior communication and notice to the student/parent/guardian:
Hostel fee and transport fee, for students who avail of or are otherwise required to avail of hostel accommodation or transport facilities;
Registration, examination, and other compliance or statutory fees prescribed from time to time by the relevant affiliating university, council or regulatory body (including but not limited to AICTE, UGC, BCI, INC, NCTE, MAKAUT, WBSU, WBSCTVESD and BSAEU), where such fees are payable directly to, or on account of a requirement of, that university or council.
Any such additional or statutory fee shall be communicated to the student/parent/guardian, along with the applicable amount and due date, in advance of it becoming payable, and may thereafter be collected through the JODO gateway (including, where opted for, through E-Mandate) in the same manner as the fee structure provided at admission/readmission.
JODO is an independent, third-party payment aggregator/technology service provider engaged by KEI solely to facilitate the collection of fees on its behalf. JODO is not an agent, employee or representative of KEI, and its role is limited to processing the payment instruction placed by the User.
Use of the JODO gateway, including any EMI, instalment or “pay-later” facility offered by JODO, is entirely optional and is subject to JODO’s own eligibility criteria, terms of service and privacy policy, which the User is advised to read separately before opting in.
KEI does not store, process or have access to the User’s card, net-banking or UPI credentials at any point during the transaction; such data is handled exclusively within JODO’s secure, PCI-DSS-compliant environment.
As an alternative to one-time payment, a User may opt to pay fees through an E-Mandate (auto-debit/NACH/e-NACH) registered with JODO, authorising periodic debit of the User’s bank account or card.
Deductions under an E-Mandate shall be made strictly in accordance with the fee structure, instalment amounts and due dates communicated to the student or parent/guardian at the time of admission or readmission, and confirmed by the User at the time of registering the mandate.
The User is responsible for maintaining sufficient balance in the linked account/card on each scheduled deduction date. Any dishonour, bounce or failure of an E-Mandate deduction may attract charges levied by the bank/JODO in accordance with applicable banking regulations, and may also attract late fees under the Institution’s fee rules; such charges are not levied or retained by KEI.
An E-Mandate, once registered, shall continue to operate for successive instalments until the fee structure communicated at admission/readmission is fully discharged, unless cancelled or modified in accordance with JODO’s mandate-cancellation process and subject to any minimum notice period required by the User’s bank.
Any change in the fee structure pursuant to a revision approved by the Institution or a competent regulatory/affiliating authority shall be communicated to the User in advance, and the E-Mandate deduction schedule shall be updated accordingly.
The User is solely responsible for ensuring that the amount entered, the fee head selected, the student/enrolment details, and the payment instrument details are accurate before confirming any transaction.
The User is responsible for ascertaining, from their bank or card issuer, any convenience fee, processing fee, or foreign exchange charge applicable to the mode of payment chosen. Such charges, where applicable, are levied by JODO/the payment instrument issuer and are not retained by KEI.
The User must retain the payment confirmation, transaction reference number and receipt generated by JODO or the Institution’s ERP/portal for future reference and reconciliation.
While KEI and JODO take reasonable measures to keep the online payment facility available, neither KEI nor JODO guarantees uninterrupted or error-free access at all times. KEI shall not be liable for any fine, penalty, loss of admission, loss of examination eligibility or similar consequence arising from a User’s failure to complete payment before the prescribed due date, including where such failure results from technical downtime, network failure, bank server issues, or gateway maintenance. Users are strongly advised to initiate payments well in advance of any deadline.
Where an amount is debited from the User’s account or card but the transaction is not reflected as successful on the Institution’s records, while JODO’s records confirm settlement, the Institution will reconcile and manually credit the payment to the student’s account, ordinarily within 7–10 working days of the discrepancy being reported.
Where a duplicate or multiple payment is made for the same fee head due to a technical error, the excess amount will be identified during reconciliation and refunded or adjusted as set out in Section 2 (Refund Policy).
Any dispute regarding a failed, delayed or duplicate transaction must be raised with the Institution’s Accounts/Admissions Office, and not directly with JODO. JODO shall not be liable to entertain refund or chargeback claims raised directly by a User; all such claims must be routed through, and are subject to verification and approval by, the concerned Institution.
Neither KEI, its Constituent Institutions, nor JODO shall be liable for any indirect, incidental or consequential loss arising from delay, interruption or corruption of data transmitted in connection with the payment gateway, or from any act or omission of the User’s bank, card issuer or network provider. This limitation does not affect any statutory right that cannot lawfully be excluded.
KEI reserves the right to review, amend or update this Policy at any time, in order to remain consistent with regulatory requirements (including those of AICTE, UGC, BCI, INC, NCTE, MAKAUT, WBSU and other applicable bodies) or changes in the payment facility offered through JODO. The version published on the official website at the time of a transaction shall govern that transaction.
Fees paid online through the JODO gateway are, as a general rule, non-refundable once a transaction is successfully completed and the corresponding admission, enrolment, examination or service is confirmed, except in the specific circumstances set out below or as otherwise required by applicable regulatory guidelines (including UGC/AICTE norms on fee refund upon withdrawal of admission).
Full refund of fees paid (less a nominal processing charge, if any) will be considered where a written cancellation request is received before the last date of admission/counselling as notified by the Institution for that academic session.
Partial refund, on a proportionate basis, may be considered where cancellation is requested after the confirmation of admission but before commencement of classes, in line with the applicable regulatory/university guidelines for the programme concerned.
No refund will ordinarily be made once classes for the academic session have commenced, save where mandated otherwise by the affiliating University, Council or regulatory authority.
Application fee, registration fee, prospectus fee and other one-time processing charges are non-refundable under all circumstances.
Where a payment is deducted from the User’s account but not reflected in the Institution’s records despite gateway confirmation of settlement, the amount will first be adjusted/credited against the student’s account; where a cash refund is warranted instead, it will be processed within 7–10 working days of verification.
Where a genuine duplicate payment is confirmed by JODO for the same fee head and transaction, the excess amount will be refunded to the original mode of payment, or adjusted against the next payable instalment at the Institution’s discretion, within 7–10 working days of confirmation.
All refund requests must be submitted in writing to the Accounts/Admissions Office of the concerned Constituent Institution, along with the transaction reference number, proof of payment, and reason for the request.
Refunds, where approved, will be credited only to the original mode of payment/the payer’s bank account and will not be issued in cash.
The decision of the Institution on the eligibility, quantum and mode of a refund shall be final, subject to applicable regulatory guidelines.
As JODO acts only as the payment technology service provider, Users shall not raise refund, chargeback or cancellation claims directly with JODO or its payment partners. Any such claim received by JODO shall be redirected to the concerned Institution and will not be separately entertained.
In the course of enabling online fee payment, KEI and/or JODO may collect the student’s/payer’s name, contact number, email address, enrolment/roll number, course and fee details, and transaction-related information (such as payment amount, mode and status). Card, UPI and net-banking credentials are collected and processed directly by JODO and its regulated banking/payment partners and are never transmitted to or stored by KEI.
To process and reconcile fee payments against the correct student account;
To send payment confirmations, receipts, reminders and fee-related communication;
To respond to queries, grievances and refund requests;
To comply with statutory, accreditation and audit requirements of AICTE, UGC, BCI, INC, NCTE, MAKAUT, WBSU, WBSCTVESD, BSAEU and other applicable regulatory or affiliating bodies.
KEI does not sell or rent personal information to any third party. Information is shared only: (i) with JODO, strictly to the extent necessary to process the payment instruction; (ii) with statutory, regulatory, affiliating or accrediting authorities where legally required; and (iii) with professional advisors (auditors, legal counsel) bound by confidentiality, where necessary. JODO processes payment data under its own privacy policy and applicable RBI/payment-industry data-protection norms.
KEI takes reasonable administrative and technical measures to protect personal information in its custody from unauthorised access, alteration or disclosure. Payment-instrument data is secured within JODO’s PCI-DSS-compliant infrastructure and is not accessible to KEI.
The website may use cookies or similar technologies to remember User preferences and improve site performance. Users may disable cookies through their browser settings; doing so may affect certain website functionality.
Fee and transaction records are retained for the period required under applicable regulatory, accreditation, audit and taxation requirements, after which they are archived or securely disposed of in the ordinary course.
For any privacy-related query, correction request, or grievance concerning the collection or use of personal information, Users may write to the Institution’s Accounts/Admissions Office at the contact details indicated on the official website, or to info@kingstoneducation.org.
All disputes and legal matters arising out of any transaction or usage of this website, including payments processed through our integrated payment gateway, shall be subject to the exclusive jurisdiction of the courts in Kolkata, West Bengal, India. By using our services and proceeding with any payment, the User agrees to comply with the applicable laws of India and acknowledges Kolkata, West Bengal, India as the designated legal jurisdiction.
For any complaint, clarification or escalation relating to online fee payment, refunds, or this Policy, Users may contact the Accounts/Admissions Office of the concerned Constituent Institution during office hours (10:00 AM to 5:00 PM, Monday to Saturday), or write to the Society at the registered address indicated in the footer of this page.
This Policy is issued by Kingston Educational Institute (Regd. Society No. S/1L/15819) on behalf of itself and its Constituent Institutions for the purpose of governing online transactions conducted through the JODO payment gateway.
